The Challenge

Enterprise procurement workflows are inherently complex. Security professionals and procurement teams need to manage lock orders across multiple facilities, configurations, and compliance requirements—often with critical timelines.

The existing ordering system created friction at every step: discoverability issues, inconsistent workflows, poor scalability, and insufficient support for complex enterprise use cases.

Key Problems

  • Operational complexity not reflected in the UI
  • Product discoverability issues for new users
  • Friction in multi-facility ordering workflows
  • Limited scalability for enterprise teams

Strategic Objectives

Streamline Ordering

Reduce steps and friction in the procurement workflow

Improve Efficiency

Enable teams to process orders faster and more accurately

Simplify Workflows

Create intuitive paths for diverse user personas

Support Teams

Build tools procurement professionals actually need

Enable Scale

Design systems ready for enterprise growth

Research & UX Analysis

Workflow Mapping

Conducted stakeholder interviews with procurement teams, security professionals, and facility managers to map ordering workflows across different enterprise scenarios.

  • Multi-facility ordering patterns
  • Compliance and approval workflows
  • Decision-making criteria

UX Audit Findings

Analysis of existing system revealed critical gaps in information architecture, navigation patterns, and task completion flows.

  • 45% of users abandoned complex orders
  • Navigation confusion in product discovery
  • Inconsistent mental models

User Pain Points

Operational

Complex ordering logic not supported by the interface

Discoverability

Users couldn't find what they needed to order

Scalability

System broke down under multi-facility scenarios

Trust

Unclear ordering status and progress tracking

System Design Strategy

Information Architecture

Redesigned the IA to support multiple mental models while maintaining a cohesive system. Created clear hierarchies for product discovery, ordering, and management.

Primary Navigation

Browse / Order / Manage / Account

Task Flows

Quick order / Advanced config / Bulk ordering

Support Systems

Contextual help / Guided flows / Status tracking

Design System Components

Established a robust component library supporting enterprise complexity: tables, forms, filters, and navigation patterns.

Data Tables

Sortable, filterable tables with bulk actions and inline editing for efficient data management

Filtering & Search

Multi-faceted filtering with saved preferences for power users

Form Patterns

Progressive disclosure for complex ordering configurations

Navigation

Persistent, context-aware navigation supporting multiple workflows

Design Execution

The ordering interface combines a visual hierarchy system on the left with real-time pricing and cart management on the right. Users can configure key systems with intuitive controls and see immediate updates to order totals and configurations.
